Who is responsible

Digital Coworkers Nordic AB, company reg. no. 559543-4969, Furuhällsvägen 29, 435 44 Mölnlycke, Sweden, is the controller for the processing described here. This policy covers the website digitalmedarbetare.se. If you use our platform as a customer, that processing is governed instead by the data processing agreement in your customer contract.

What we process

Depending on how you use the site, the following may be processed:

  • Contact details you provide in the form or by email — name, company, email address, phone number and whatever you write in the message.
  • Details in support tickets you report in the support portal — in addition to contact details, the ticket’s type, subject and description, which coworker or integration it concerns, a ticket number, the ticket’s status and timestamps, and a one-way encrypted value (hash) of your IP address to prevent abuse.
  • Technical information logged by the web server on each visit, such as IP address, timestamp, requested page and browser type.
  • Statistics on how the site is used, but only if you have consented to measurement.

Why, and on what legal basis

Details you submit in the contact form are used to answer your enquiry and to follow up on it where needed. The legal basis is our legitimate interest in replying to people who get in touch, or steps prior to entering a contract where the enquiry concerns a purchase.

Support tickets are used to investigate and resolve the issue, contact you about it, and send a confirmation with the ticket number to the email address you provided. Tickets are stored in a structured form so that we can follow them up and see the history for your account. The legal basis is performance of the contract with the company you represent, and our legitimate interest in providing and following up support.

Server logs are processed for operational security and to detect and investigate attacks. The legal basis is our legitimate interest in keeping the service secure and available.

Visitor statistics are processed to understand which content is useful. The legal basis is your consent, which you may withdraw at any time.

How long we keep it

Enquiries that lead nowhere are erased within twelve months. Where contact leads to a business relationship, the material is kept for the duration of that relationship and thereafter for as long as we need it for accounting purposes or to handle legal claims. Support tickets are kept for as long as the customer relationship lasts and erased no later than 24 months after it ends. Server logs are kept for a maximum of three months. Visitor statistics are kept for the retention periods stated in the cookie policy.

Who has access

We never sell personal data and do not pass it on for anyone else’s marketing. Data may be processed by suppliers who help us with hosting, email and web analytics. They act as processors, may only process the data on our instructions, and are bound by contract. Data may also be disclosed where we are required to do so by law or by a decision of a public authority.

Transfers outside the EU/EEA

Our hosting is within the EU. Web analytics is provided by Google Ireland Limited, which may transfer data to the United States. Any such transfer relies on the European Commission’s adequacy decision for certified recipients in the US, supplemented by standard contractual clauses. If you decline measurement, no such transfer takes place.

Your rights

You have the right to know what data we hold about you and to receive a copy of it. You may ask for inaccurate data to be corrected, for data to be erased, or for processing to be restricted. You may object to processing we carry out on the basis of legitimate interest, and request data you provided yourself in a machine-readable format.

Get in touch and we will handle your request. If you are unhappy with how we process your data, you may lodge a complaint with the Swedish Authority for Privacy Protection (IMY).

Cookies

The site uses cookies and similar storage sparingly. No measurement starts before you have consented. Which cookies occur, what they do and how long they are kept is set out in the cookie policy.
